Name the place and entrance

A large site can have several entrances. Give the exact waiting point and a way to recognise the group. A short instruction helps if navigation chooses a different entrance.

Separate arrival from departure

State when to arrive and when the group leaves. A single ambiguous time can mean the start of the meetup to one person and departure to another.

Plan for late arrivals

Explain how to notify the organiser and what happens if someone is late. A planned later meeting can be simpler than changing the departure. Agree on this before travelling.

Check that the location suits the group

A map point does not confirm group parking or availability. Check the site’s use and access conditions. Choose an alternative for closures or busy conditions and communicate it before people set off.
